Classified Staff- Boise State Way of Hiring

Before You Begin

  • Obtain approval from the Division/College’s authorized approver.
  • Confirm internally within your Department there is an existing PCN.
  • If the position is new or the duties of a vacated position have significantly changed, the position must be reviewed by HR for proper classification. Complete the job description template and submit your request via the Comp and Class Form.
  • Confirm with the Budget Office that there are allocated funds to support the vacant position.

Recruitment Strategy

  • Work with your Talent Acquisition Specialist to build a recruiting strategy- Select search committee, determine target wage, and open/close dates for posting.
  • Select applicable exam and identify questions for preferred qualifications.
  • Identify training needs (Applicant tracking systems and Classified hiring rules). Ensure that all search committee members have completed required training.
  • Create the requisition.

Online Posting

  • Talent Acquisition will create the job posting based on the job description provided and also attach exam. Standard posting sites include: Boise State Career site & the Division of Human Resource website.
  • Departments can post the job to program specific organizations as needed.
  • Designate a departmental Subject Matter Expert (SME) to grade the applicant exams

Narrow Candidate Pool

  • Initial Screening – SME will review and score exam accordingly. Hiring list will be made available to hiring manager after grading is complete.
  • Hiring manager will review hiring list and provide/request additional access for search committee members as needed.
  • Select interview questions from approved bank. If you want to add additional questions, please submit them to your Talent Acquisition Specialist prior to conducting the interview.
  • Interviewing Candidates – Identify candidates you wish to consider for interviews.
  • Disposition and update candidates on the hiring list in the applicant tracking system.
  • Interview questions and notes will need to be sent to Talent Acquisition at the conclusion of the search.

Confirm Your Selection

  • Reference Checks – You must conduct reference checks on all regular full/part time positions and temporary positions. If candidate is current or previous state employee, contact Talent Acquisition for previous performance evaluations.
  • Conditional Verbal Offer – Confirm with Talent Acquisition the amount you are planning to offer. Extend verbal offer contingent upon background check and satisfactory reference checks. Talent Acquisition will create a written offer letter to send to the candidate.
  • Background Check – Notify Talent Acquisition of candidate’s verbal offer acceptance to initiate background check and degree verification. No notifications will be sent to other candidates at this time. If a background check comes back unsuccessful, Talent Acquisition will contact you to determine next steps.

Offer Acceptance and Onboarding

  • Offer Acceptance – Upon successful completion of a background check, Talent Acquisition will notify the department of the target start date.
  • Submit recruitment materials – Talent Acquisition will contact the department to collect the following:
    • Complete updated hiring list in Applicant Tracking System
    • Interview questions and notes
    • Reference check forms
    • Any additional screening and interview materials
  • Talent Acquisition will file all search related materials
